This article outlines how to set up and authorise a Totality data feed.
Set the feed up first
Set the feed up first, then complete the authority form. The form is generated from the entity and Account ID recorded on the feed, so you must save those details before the form populates correctly.
Authorisation for a Totality data feed is completed using Totality's Authorisation to Disclose Account Information form. Simple Fund/Invest 360 generates this form for you, pre-filled with the entity and account details.
For more information on this process, refer to Totality's guide: How to authorise and connect to a third-party reporting entity.
1. Download the form
In the Wrap Feed Setup window, next to Authority Form, select Download Form.
The 'Receiving Party' section is automatically prefilled with BGL's details. Please do not remove or change the details.
2. Review and complete the 'Client' section
The following fields are left blank for the account holder to complete:
- Client address
- Client email address
- Authorised signatory signature 1 and 2
- Date
Who signs the form depends on the entity's account structure:
- Individual account: the individual account holder.
- Joint account: all account holders.
- Company account: authorised signatory/signatories in accordance with the account mandate.
- Trust – individual trustee: all trustees.
- Trust – corporate trustee: director(s) of the corporate trustee.
- SMSF – individual trustees: all trustees (members).
- SMSF – corporate trustee: director(s) of the corporate trustee.
Check that the pre-filled client name, Totality ID and signatory names are correct before the form is signed. Totality accepts electronic signatures, including DocuSign.
3. Send the completed form to Totality
Send the completed form to Totality at help@totality.com.au, or upload it through the Totality client portal.
4. Totality activates the feed
Totality will validate the form against the client's account profile, complete their internal compliance review, and add the account to the BGL reporting group. The standard turnaround time is 3-4 business days from when Totality receives a completed form, and it may be longer if Totality requires additional information.
Once the account has been activated, data will be received in the next daily file, and the Feed Status will move from Awaiting Transactions to Feed Operating.
Navigation
| From the Main Toolbar, go to Connect. | |
| Select Feed Management from the list. | |
| Select the Wraps and Platforms tab. | |
| Click (+) Setup, to create a new feed. |
Input Feed Setup
- Entity: Select the correct entity to establish the feed.
- Feed Provider: Select Totality.
- Account ID: Enter your Totality Account ID (account number + sub-account reference), matching Totality exactly. If you have multiple sub-accounts (e.g. one sub-account per currency), you will need to create separate feed per sub-account.
- Bank Account: Select the linked Bank/Cash Account (required).
- Do not import data before: Input the last date of any data that was manually entered prior to feed activation. Clicking the three dots also allows you to enter a Do Not Import Data After date.
- Feed Status: Read-only. Shows Awaiting Transactions until Totality activates the account and sends the first file, then Feed Operating.
- Feed Enabled: Leave ON to receive data; toggle off to suspend without deleting the feed.
- Link Holding Accounts to Feed: Leave ON so mapped holding accounts receive data.
- Authority Form: Select Download Form to generate it (see Authority Process tab for full steps).
-
Account Mapping: Link your existing accounts to the feed so that data is allocated to the accounts you intend, rather than to new accounts created by the system. The section has two tabs:
- Holding Accounts – your bank and investment accounts matched with Security code. Tick Linked against accounts the feed should use.
- Control Accounts – the feed's control accounts.
- Security Code: Enter manually where blank (e.g. bank accounts) using the code from the Totality report; fields populate once the feed is operating. You may refer to Holding Accounts Report to help map codes. Unmapped accounts create duplicates. See Wrap Feed has created duplicate accounts? and Wrap Feed Setup - Account Mapping.
- Save: Click to save changes.
Note
Totality accounts do not use portfolio codes, so a feed is not split by portfolio. Set up one feed per Totality Account ID.
- Bank transactions.
- Investment movements (purchases and disposals).
- Income transactions (dividends, distributions and bank interest).
- Bank and Investment balances.
Totality uploads a file to BGL daily, after their own end-of-day processing completes. A file is sent every day regardless of whether there has been any movement on the account. The overnight process picks up new transactions and balances, and they will be available in the entity the following morning.
Totality's standard turnaround time is 3-4 business days from receiving a completed authority form. If the feed has not activated after this time, please follow up directly with Totality at help@totality.com.au.
No. A new feed will remain at Awaiting Transactions until Totality has processed the authority form and received the first file for the account. If the feed has been at Awaiting Transactions for more than a few days after the form was submitted, follow up with Totality.
Yes. Where the account is new to the feed, Totality will supply the historical data for that account on activation, in addition to ongoing daily data.
If older transactions do not appear after the feed begins operating, perform a transaction re-request to obtain them.
Use the Do not import data before date on the feed if you do not want the full history loaded. For example, where opening balances have already been entered or prior years have been finalised.
Transactions and balances will be posted to the accounts linked to the data feed in the Account Mapping section. For purchases of new investments not previously held by the entity, the system will create new accounts and automatically allocate transactions.
Interest income will be automatically coded to the linked 25000 interest account.
The system can automatically match the following types of transactions, provided the debits and credits reconcile between the transactions and the transactions are recorded within a similar date range.
- Investment movements (Buys and Sells) and the corresponding Bank movement(s).
- Income movements (Dividends and Distributions) and the corresponding Bank movement(s).
Any transactions not automatically matched or coded by the system will need to be actioned manually.
No. Totality does not supply distribution or dividend tax components, including franked and unfranked amounts and imputation credits.
Dividends and distributions will be imported with zero tax components. These will need to be updated manually at year end. For more information, please refer to Distributions and tax components.
Yes. Totality is predominantly an international trading feed, and it imports foreign market trades and foreign currency bank transactions.
The following account currencies are supported: AUD, CAD, CHF, CNH, EUR, GBP, HKD, JPY, NZD, SGD and USD.
Transactions are reported by Totality in the account's own currency, along with the exchange rate applying at Totality's end of day, which Simple Fund/Invest 360 uses to convert the amounts.
Investments held in a foreign currency will be created with the relevant Simple Fund/Invest 360 market code as a suffix on the security code. For example, a holding on the New York Stock Exchange will appear as TEL.NYE. Foreign currency bank transactions will be posted to the relevant foreign currency bank account.
Totality trades on a small number of exchanges that do not have a corresponding Simple Fund/Invest 360 market code. Holdings on those exchanges are still imported, but the security code will not carry a market suffix.
There is no option to exclude foreign investments from a Totality feed.
No. The Totality feed imports bank, investment, and income transactions, and you can't turn them off individually.
To restrict data by date, use the Do not import data before and Do not import data after fields. To suspend the feed entirely, toggle Feed Enabled off.
No. The data feed does not support contracts for difference (CFDs) and other derivative positions.
Note that the exclusion applies at account level. Totality does not report accounts that trade derivatives. If the client's account holds derivative positions, no data will be provided for that account.
No. Dividends, distributions and interest are always paid into the client's Totality cash account, so income will always be accompanied by a corresponding cash movement in the feed.
No. The Totality feed provides transactions and balances only. Contract notes, annual reports, annual tax statements and other source documents are not delivered through the feed and remain available to the client through the Totality platform.
Use the Transaction Filter, select the Field 'Data Source' and the Value 'Totality'.
Transactions imported from the feed also carry a transaction reference beginning with TOTA-, followed by the Totality transaction ID.
If you did not complete the Account Mapping process when setting up the data feed, the system will create new accounts to allocate the data to.
