Overview
This article explains how to reject a contribution received through Payday Super Contributions in Simple Fund 360. When a contribution from an employer cannot be accepted — for example, because the member cannot be found or the TFN is missing — you can reject it directly in SF360.
This sends a digital message back to the employer advising that the contribution cannot be processed and, where applicable, that a refund is required.
Before You Begin
Only contributions received through the updated SuperStream contribution format (Payday Super) can be rejected. Contributions received through the older SuperStream format cannot be rejected — the Reject Contribution option will not appear in the Actions menu for those records.
Instructions
1. Select your fund, then navigate to Payday Super Contributions using either menu:
- Old sidebar menu: Connect → Payday Super Contributions
- New sidebar menu: Dashboards → Payday Super Contributions
2. Under the Contributions section, make sure you are on the Received tab. Locate the contribution row you want to reject.
3. Click the Actions button on the contribution row, then select Reject Contribution from the dropdown.
4. The Reject Contribution Transaction modal will open. Review the contribution summary:
- The Total Contribution amount is displayed in bold at the top.
- The itemised breakdown lists all contribution components (Super Guarantee, Employer Award, Salary Sacrificed, Employer Voluntary, Personal, Spouse and Child, Other Family and Friends, Any Other, and any additional line items).
- Use View more / View less to expand or collapse the full breakdown.
5. Under Reason For Rejection, select the reason that best describes why the contribution cannot be accepted.
Reason for Rejection
---
Member not found with supplied information.
No Longer a member of specified Superannuation fund.
Member TFN required for this Contribution Type.
Contributions cannot be accepted for this individual due to age or eligibility restrictions.
No account exists and you do not have a default relationship with fund to register the employee.
Payment reference [number] cannot be matched.
Payment is less than what has been specified with Contribution Transaction Request Message.
Payment is more than what has been specified with Contribution Transaction Request Message.
If the selected reason affects all members in the same payment, a warning will appear in the modal listing the other transactions that will also be rejected. Review the list before clicking Reject.
6. Under Refund Required?, select Yes or No.
- If Yes, a Refund Amount field appears, pre-filled with the member's total contribution amount (or the full payment amount if the rejection affects all members in the payment). You may adjust this if needed — the amount must be greater than $0.00.
- If the adjusted amount differs from the pre-filled amount, a warning message will appear asking you to review the details. You may still proceed.
7. If Refund Required? is set to Yes, the toggle "Do you want to create a new Payment Reference Number for the refund?" will appear.
- Toggle off (default): The original Payment Reference Number from the contribution is used for the refund.
- Toggle on: A new unique Payment Reference Number is generated for the refund.
Important:
The super fund must use this Payment Reference Number when processing the refund. Under the SuperStream standard, this number must match exactly between the rejection message and the banking transaction.
8. Click Reject to submit. The Reject button is only active once all required fields are completed. Click Cancel to close the modal without saving any changes.
9. After clicking Reject, an amber alert banner appears at the top of the page:
Timing
"1 rejected contribution is being sent. Check back shortly. (Please allow up to 1 hour for the status to update.)"
The digital message to the employer is sent in the background. Click View rejected contributions in the banner, or click the Rejected tab directly, to monitor delivery status.
10. Click the Rejected tab to view the contribution. The Rejection Message Status column shows the current status of the rejection message.
| Rejection Message Status | Meaning |
