Customising / formatting dates in letter templates

    Thank you for reaching out to the Community.

    Here's how to update the date format, plus the steps to get the customised templates back into Simple Fund 360.

    Changing the date format

    1. Download the template of the letter you want to customise (e.g. Pension Commencement Letter, Deductions Notice Letter).

    2. Find the date merge field in the document. It will appear as something like «${ReportDateOrSlashes}».

    3. Delete the "OrSlashes" portion so the field reads «${ReportDate}». This switches the field from the DD/MM/YYYY format to the D Month YYYY format (e.g. 3 July 2026).

    4. Repeat this for every date field in the letter. Each one is set individually, so removing "OrSlashes" on one won't update the others.

    5. Save the document once all date fields have been updated.

    Uploading the updated template

    From the list of reports, select the green arrow next to the report you wish to customise. Note that the changes you make will only apply to the funds attached to the badge you've selected. Then:

    1. Select the pencil icon for the Template, and on the Report Template screen, select Download Doc under Get Your Template. This gives you the .docx file to edit.

    2. Make your date field changes as above and save the document.

    3. Go back to the Reports screen and select the pencil icon again, then under Upload Your Template, select Browse and choose the document you changed.

    4. Select the badges you want to associate the uploaded template with. Either tick Select All, or tick individual badges.

    5. Select Upload Doc. The changes will apply the next time you download or preview the report, but only for the badge(s) you selected.

    Repeat this process for each letter template you're updating.
